Terms of Service

These Terms govern access to and use of Atlas, a software service for hospitality operations (establishment journeys, handbooks, registers, logs, document handling, and related features). By creating an account or using the service, you agree to these Terms.

1. The service

Atlas is provided by the organisation that hosts this instance (“Operator”). Features may change as the product develops. Atlas is a business operations and compliance-support tool; it does not replace professional legal, tax, environmental health, or insurance advice.

2. Eligibility and accounts

You must be able to enter a binding agreement on behalf of yourself or your business. You are responsible for the accuracy of account details and for keeping credentials secure. You must not attempt to access tenants or data you are not authorised to use.

You retain rights to the business content you submit (documents, procedures, registers, logs, etc.). You grant the Operator a limited licence to host, process, and display that content solely to provide the service—including running analysis tools you enable and storing imports from connected sources such as Google Drive.

You represent that you have the rights needed to upload content and, where you connect Google Drive, to authorise Atlas to read the files you select for import.

5. Third-party services

Atlas may integrate with third parties you choose (for example Google sign-in, Google Drive, object storage, or AI providers). Your use of those services is also subject to their terms and policies. The Operator is not responsible for third-party outages or policy changes.

6. AI features

Where AI-assisted features are enabled (chat guidance, document extraction, suggestions), outputs may be incomplete or incorrect. You must review and validate suggestions before relying on them for inspections, certificates, temperatures, or other critical decisions.

8. Availability and disclaimers

The service is provided “as is” and “as available”. To the fullest extent permitted by law, the Operator disclaims warranties of uninterrupted access, fitness for a particular purpose, and non-infringement. Atlas does not guarantee regulatory outcomes (for example inspection results) or the completeness of extracted certificate data.

9. Liability

To the fullest extent permitted by law, the Operator is not liable for indirect, incidental, special, consequential, or punitive damages, or loss of profits, data, or goodwill. The Operator’s aggregate liability arising out of the service is limited to the fees you paid for the service in the twelve months before the claim (or zero if the service is provided free of charge). Nothing in these Terms limits liability that cannot be limited under applicable law (including death or personal injury caused by negligence, or fraud).

10. Suspension and termination

The Operator may suspend or terminate access if you breach these Terms, create risk for the service or other users, or if the instance is decommissioned. You may stop using Atlas at any time. Provisions that by nature should survive (e.g. liability limits, IP, content licence for archival backups) will survive.

11. Changes

We may update these Terms. Continued use after the updated “Last updated” date constitutes acceptance of the revised Terms, unless applicable law requires otherwise.

12. Governing law

Unless the Operator states otherwise for a specific deployment, these Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, subject to mandatory consumer protections where they apply.
